Copying and Scanning

Once you get past Pharos Uniprint®, the interaction you’ll have with the device is identical to devices of the same model/family not controlled by Pharos. Most of our Ricohs and Laniers use the same basic methods to make copies, and have similar setup processes for scans. Canons are a little different, but the interfaces on all our devices pretty clearly show you what you need to set them up to get the results you want.

If you can’t figure out how to make your output look like what you want it to using the instructions below, please contact us at copierprogram@ucsc.edu or x9-5799. Users should NOT use ITS’s “Service Now” ticketing system for problems with copying or scanning. ITS has nothing to do with enabling Copier Program customers to use their devices, and any request for help through “Service Now” will take longer to fulfill than if the customer contacted Copier Program directly.

Copy

  1. Place your original(s) face up in the Automatic Document Feeder, or face down on the glass.
  2. Log in to the device if it has Pharos Uniprint ® controlling access to the device. We have instructions here if you need them.
  3. Press the <Copy> button to the left of the touchscreen, or <Copier> button on the touchscreen.
  4. You can now choose your settings/features including, but not limited to:
  • Color or black and white output
  • Paper tray (thus size, and perhaps type)
  • Reduce/Enlarge (amounts vary by device type)
  • Single-sided or duplex output
  • 2 single pages to one duplex page, or similar options
  • Finishing, such as stapling
  1. Using the keypad or touchscreen, select the number of copies.
  2. Press the <Start> button to make your copies.
  3. If the device is controlled by Pharos Uniprint®, be sure to log out of the device when your copies are finished (see model-specific instructions on our Copier Access page). If the device is not, you’re done. Either way, don’t forget your output!

Scan (to email)

Copier Program users should scan to email only documents containing information that is authorized at the same level as that for all Google Apps. Please see this UCOP webpage describing the rules for Google Apps.  If you have questions, ask your supervisor or put in an "ITS Service Now" ticket to see if what you'd like to scan falls within the permitted guidelines.

  1. Place your original(s) face up in the Automatic Document Feeder, or face down on the glass.
  2. Log in to the device if it has Pharos Uniprint® controlling access to the device. We have instructions here if you need them.
  3. Press the <Scanner> button to the left of the touchscreen, or <Scanner (Classic)> on the touchscreen.
  4. Select the “Email” tab.
  5. Specify your scan settings. FOR EXAMPLE, if you’d like to scan a document in full color/duplex mode, and save as a PDF:
  • Press <Scan Settings>, press <Full Color: Text / Photo> in the “Original Type” tab, and then press <OK>.
  • Press <Original Feed Type>, press <2 Sided Original>, and then press <OK>.
  • Press <Send File Type / Name>, press <PDF>, and then press <OK>.
  1. Specify your destination:
  • Select the recipient’s name from the list of frequently used names, OR
  • Press the <Recent> button and select a recipient, OR
  • Press the <Manual Entry> button and key in the recipient’s entire email address.
  1. Press the <Start> button to send your scans.
  2. If the device is controlled by Pharos Uniprint®, be sure to log out of the device when your scans are finished (see model-specific instructions on our Copier Access page. If the device is not, you’re done. Either way, don’t forget the documents you scanned!
